Role Purpose Statement
The Corporate Reception & Executive Support Coordinator manages front-desk operations and provides high-level administrative support to senior executives by professionally welcoming visitors, maintaining reception protocols, coordinating meetings and events, and handling executive scheduling and communications, with the objective of ensuring a seamless guest experience and enabling the effectiveness and productivity of company leadership.
Main Accountabilities
Reception Management
- Manage front desk and visitor facing operations by warmly welcoming guests, maintaining a clean and organized reception area, managing the visitor log, and responding promptly to inquiries, with the objective of delivering a professional and secure first impression for all visitors.
Executive Administrative Support
- Provide administrative support to Senior Vice Presidents by managing complex calendars, coordinating travel arrangements, processing expense reports, and handling sensitive communications with discretion, with the objective of optimizing leadership time and supporting efficient executive operations.
Meeting and Event Coordination
- Organize internal meetings and events by securing venues, arranging catering, preparing materials, and coordinating logistics, with the objective of ensuring smooth and professional execution that fosters internal alignment and engagement.
Facility and Vendor Interface Support
- Serve as the liaison for external service providers and deliveries by monitoring access points, ensuring adherence to sign-in procedures, and directing visitors or vendors appropriately, with the objective of maintaining workplace safety, service flow, and operational efficiency.
Communication and Coordination
- Support internal communication and cross-departmental alignment by coordinating administrative requests, routing information, and responding to inquiries in a timely and professional manner, with the objective of enhancing collaboration and administrative responsiveness throughout the organization.
Knowledge, Skills and Experience
• High School Diploma or equivalent (required)
• Minimum 1 year of administrative and/or reception experience
• Prior experience in hospitality or professional services (preferred)
• Proficiency in Microsoft Office Suite
• Basic Canva and data entry experience (a plus)
• Strong organizational, communication, and multitasking skills
• Discretion in handling confidential information
